ADMINISTRATIVE SECRETARY
The Minnesota Historical Society, Sesquicentennial Commission seeks an Administrative Secretary to provide administrative and executive secretarial support for its Executive Director. This is a full-time regular position located at the James J. Hill House, 240 Summit Avenue, in St. Paul, MN through June 30, 2007. Continuation through February 2009 dependent upon funding.
DESCRIPTION: The Minnesota Historical Society seeks an Administrative Secretary to provide secretarial support for the Executive Director, Sesquicentennial Commission. Major responsibilities include: 1) manages the Executive Director’s schedule and calendar: schedules appointments and meetings, anticipates and resolves scheduling conflicts, makes travel arrangements and prepares expense reimbursement requests; 2) handles the Executive Director’s incoming and outgoing communications: answers phone calls, reviews mail and email, and responds to inquiries orally or in writing when possible; 3) manages project files and office filing system; 4) provides general administrative and clerical support: drafts correspondence and memos, prepares copies and attachments for mailings, compiles data, drafts reports, photocopies and files; 5) maintains the office accounts: prepares spending request forms, approves and tracks invoices, assists with budget preparation, and 6) performs related work as apparent or assigned.
MINIMUM QUALIFICATIONS:

Post-high school secretarial or related training.

At least five years of related administrative assistant experience in a related office setting.

Excellent typing and word processing skills.

Strong personal computer skills including Microsoft Office software (e.g., Word, Excel, Access, PowerPoint, Outlook, and internet browsers).

Proven grammatical skills, strong attention to detail and accuracy, and excellent proofreading skills are required to ensure that documents are error-free.

Ability to manage multiple assignments simultaneously and to maintain a professional and neat work environment.

Ability to communicate clearly and to handle confidential information discreetly and appropriately.
DESIRABLE QUALIFICATIONS:

Previous experience providing support at the executive level.

Thorough knowledge of general office procedures.
SALARY: $ 2,551 monthly minimum
