Ensuring Newsletter Delivery: Whitelisting

It's a growing issue with email -- you sign up for a newsletter service and you never receive an issue. Why? In many cases, whitelisting the sender of the newsletter is critical to ensure delivery. That is, adding the senders email address to your email software or service will ensure that your email newsletters will get into your inbox.

Here are whitelisting tips for Gmail, MacMail, Yahoo, Microsoft Outlook, AOL, Hotmail, and Mozilla Thunderbird to ensure that your the Local History News newsletters arrive each and every month. Have questions? Email localhistorynews@mnhs.org anytime.

Add an email address to a safe sender list in a client or security software

Gmail

  1. Select contacts from the options on the left side of the Gmail Inbox.
  2. Select Create Contact on the top menu.
  3. Enter the email address in the primary email box.
  4. Select Save.
    If an email from localhistorynews@mnhs.org is in the Spam folder, you can mark it "Not Spam" to whitelist it.

Apple Mail

  1. Open the email./li>
  2. Type the sender's email in the Add Entry field on the Allow List.
  3. Verify the sender's contact details./li>
  4. Click Save.

Outlook

  • 2003, 2007 and Express

Without an example email address in your inbox:

  1. Select Actions from the toolbar at the top of the screen.
  2. Select Junk E-mail.
  3. Select Junk E-mail Options...
  4. Click the Safe Sender tab.
  5. Click Add.
  6. Type in the email address you wish to add to your safe sender list.
  7. Click OK.

With an example email in your inbox:

  1. Open the email.
  2. In the Toolbar options at the top, click the Safe Lists drop-down.
  3. Note: This is located in the "Junk Email" section
  4. Select "Add sender to Address book".
  5. Click OK.

To white list an entire domain:

  1. Open the email.
  2. In the Toolbar options at the top, click the Safe Lists drop-down.
  3. Note: This is located in the "Junk Email" section
  4. Select "Add Sender's Domain (@mnhs.org) to Safe Senders List.
  5. Click OK.

2010

  1. In Outlook, go to the Home tab.
  2. Click the Junk button.
  3. Choose "Junk E-Mail Options" from the drop-down list.
  4. Go to the Safe Senders tab.
  5. Type in either the email address or the domain name you wish to add.
  6. Click OK.

Express

  1. In Outlook, go to the Tools menu.
  2. Select "Address Book".
  3. Click New and select New Contact from the drop-down menu.
  4. Type in email address and include any details you want.
  5. Click OK.

Entourage

  1. Open the email.
  2. Right-click the sender's email address.
  3. Select "Add to Address Book" in the short-cut menu.
  4. Verify the sender's contact details.
  5. Click Save.

Yahoo

In Yahoo Mail, your contacts list is your whitelist. To add the From Address to your Yahoo Contacts:

  1. Open your Yahoo mailbox.
  2. Click the address book icon under the Yahoo! Mail logo. When you roll your mouse over it, it will say Contacts.
  3. Click "New Contact".
  4. Fill in the fields of your Contact.
  5. Click Save.

Mail from this sender should now be delivered to your Inbox.

Outlook.com (Formerly Hotmail)

  1. Open your Outlook mailbox.
  2. Select Options from the top right (next to the question mark).
  3. Select More options > Safe and blocked senders (under Preventing junk email) > Safe senders.
  4. In the space provided, enter the address.
  5. Example: You can either enter a specific email address or use *mnhs.org or @mnhs.org to whitelist the domain (replace the xxxxx with the domain name).
  6. Select Add to list.
  7. Ensure the safe mailing lists box has the address you entered, and select OK.

America Online (AOL)

New Subscribers:
Please add our "From address", localhistorynews@mnhs.org, to your AOL address book:

1. Click the Mail menu and select Address Book.
2. Wait for the "Address Book" window to pop up, then click the Add button.
3. Wait for the "Address Card for New Contact" window to load.
4. Paste localhistorynews@mnhs.org into the "Other E-Mail" field.
5. Make our From address the "Primary E-Mail" address by checking the associated check box.
6. Click the Save button.

Existing Subscribers: If our newsletter is in your AOL Spam Folder, please open the issue and then click the This Is Not Spam button. Next, please add localhistorynews@mnhs.org onto your Address Book as described above.

Existing Subscribers: How to check if our newsletter is in the "Spam" folder:
1. Click Spam along the left side of any Gmail page.
2. Check mark the box next to our newsletter.
3. Click Not Spam button along the top.

Mozilla Thunderbird

New Subscribers:
You will need to add our From address, localhistorynews@mnhs.org, to your Thunderbird Address Book and configure your Junk Mail Controls to whitelist your address book.

1. Click the Address Book button.
2. Make sure the Personal Address Book is highlighted.
3. Click the New Card button. This will launch a New Card window that has 3 tabs: Contact, Address & Other.
4. Under the Contact tab, copy and paste our "From" address, localhistorynews@mnhs.org into the Email dialog box.
5. Click OK.

Whitelist your Personal Address Book:
1. From the main drop down menu, select "Tools -- Junk Mail Controls"
2. This will launch the Junk Mail Controls window that has two tabs: Settings and Adaptive Filter
3. Under the Settings tab, update the "whitelists" module by selecting Personal Address Book from the pull down menu and then check mark the box next to "Do not mark messages as junk mail".
4. Click OK.

Existing Subscribers Please check your Junk folder to see our newsletter have been mistakenly placed there. To prevent this from happening in the future, you need to mark our newsletter as not junk. Do this by right-clicking on our newsletter and choose "Mark -- As Not Junk."
